03 Operating Guide

03.1 Query Orders and Inventory

(1) Ask with a clear object such as order number, SKU, customer, PO, lot, or location.

(2) Request system fields, current status, exception reason, and recommended next step.

(3) If the result involves available inventory, verify it in Inventory or Outbound Orders before action.

03.2 Generate Business Drafts

(1) Provide customer, SKU, quantity, warehouse, date, and business reason before generating inbound, outbound, or inventory adjustment drafts.

(2) AI-generated drafts remain pending confirmation and should not bypass validation or approvals.

(3) Authorized users must review customer, warehouse, SKU, quantity, lot, location, and billing impact before submission.

04 Usage Rules

  • Do not enter passwords, full tokens, or unmasked private data into AI prompts.
  • Verify AI conclusions against system records, especially inventory, billing, and customer invoices.
  • Write actions must pass permission checks, user confirmation, and audit logging.
